Moving to Korrit from Monograph, Deltek or BQE

Switching firm software is mostly a data question: will your clients, projects and billing history still be there on the other side? With Korrit, onboarding and data migration are free for every team, and we do the move with you. You send us exports from your current tool, we bring your clients, projects and history across, and you check the result before your team switches over.

This guide is for firms coming from Monograph, Deltek Ajera or Vantagepoint, BQE Core, or a mix of spreadsheets and QuickBooks. It covers what moves, what to export, and how to plan the cutover.

What comes across

We plan the migration around what your firm actually uses. Typically that means:

  • Clients and contacts. Each client company and the people you work with there.
  • Projects. Project names, numbers, clients and status, including closed projects you want to keep for reference.
  • Phases and fees. Each project’s phases with the agreed fee, so budgets and invoicing pick up where they left off. See Set up a project with phases and fees for how these work in Korrit.
  • Past invoices and payments. What each project has already billed and been paid, so fee percentages and outstanding balances are right from day one.
  • Time history. Hours already logged against each project and phase, so budget burn reflects the work done before the switch.
  • Your team and rates. Who works at the firm and what each role bills.

Tell us early if there is anything you rely on that isn’t on this list. We’ll say plainly whether it has a home in Korrit.

What to export from your current tool

Most firm management tools can export their data as CSV or Excel files, usually from their reports or list screens. You don’t need to clean anything up first. A raw export is fine, and we’ll ask for more if something is missing.

The exports that help most are:

  1. A list of clients and contacts.
  2. A list of projects with their phases and fees.
  3. An invoice history, with payments if your tool records them.
  4. A time entry report covering the history you want to keep, broken down by person, project and phase.
  5. A staff list with billing rates.

A few notes by tool:

  • Monograph. Monograph keeps projects, phases, time and invoices together, so most of the list above can come from one place.
  • Deltek Ajera or Vantagepoint. These include project accounting, so your general ledger may live there too. Korrit keeps QuickBooks as your books, so bring this up on the call and we’ll plan what moves to Korrit and what stays with your accountant.
  • BQE Core. Export your clients, projects, time and invoices from its reports. If Core already syncs to QuickBooks Online, the QuickBooks import below may cover your invoice history.

If you’re not sure how to get a report out of your current tool, we can work through it together on the call.

If your invoices already live in QuickBooks Online

If your firm already syncs its billing to QuickBooks Online, you can pull that history into Korrit yourself. Go to Settings → Connectors → QuickBooks, connect your company, and run the import. It walks through four steps: Fetch, Clients, Projects and Invoices.

You review the clients and projects Korrit matched before anything is created. Then your past invoices and their payments come in, oldest first. Any invoice Korrit can’t place on a project waits under Invoices that need a project until you pick one. Connect QuickBooks Online covers each step.

We can run this with you as part of the migration, or you can do it before the call.

Request migration help

When you set up your firm, the onboarding step Bring your data over asks where your data is today.

  1. Under Where is your data today?, pick every source that applies: Monograph, QuickBooks, ADP, Excel or Other. If you’re coming from Deltek or BQE, pick Other.
  2. In Note, say what should come over and anything we should know. Name your current tool here, along with how far back you want history to go.
  3. Click Request migration help.

We’ll email you within one business day to plan the move.

If you skipped the step with Skip, we’re starting fresh, it waits on your dashboard as Plan your data migration in the setup checklist. Click Start to open the same form. Admins who aren’t the firm owner can send the request from there too.

How the move runs

Every firm’s data is a little different, so the order matters more than the dates. A typical migration goes like this:

  1. Planning call. We look at what you use today, agree what comes across and how far back, and pick a cutover date.
  2. Exports. You send the files listed above, or we work through them together.
  3. Import. We load your clients, projects, phases, fees and history into Korrit.
  4. Your review. You open a handful of projects you know well and check the fees, billed-to-date and hours against your old tool.
  5. Cutover. Your team starts logging time in Korrit, and new invoices go out from Korrit.

Running both tools during the cutover

Keep your current tool running until the first full billing cycle in Korrit is done. That way you can compare numbers side by side, and nothing is lost if a figure needs a second look.

Pick a cutover date that lines up with a natural break:

  • The end of a timesheet period. Everyone finishes the period in the old tool and starts the next one in Korrit, so no week is split across two systems.
  • Month end. Bill the last month from your old tool, then send the next round of invoices from Korrit. Your invoice history stays clean and clients don’t get bills from two places.

Before cutover day, invite your team so they can log in and see their projects. After it, ask everyone to stop entering time in the old tool, and export one last time report to catch any late entries.

Common questions

Do we have to retype anything? No. We bring the data across from your exports, and your role is to check it.

What if our data is messy? That’s normal. Send what you have and we’ll sort out duplicate clients and odd project numbers during the import.

Can we start using Korrit before the migration is finished? Yes. You can set up new projects in Korrit while your history is still coming across.
